TBR Library Deans and Directors

Annual Retreat   Renaissance Center

September 9 and 10, 2004

Thursday, Sept. 9—

1.  Dr. Robbie Kendall-Melton welcomed everyone to the Renaissance Center.

Announcements from Dr. Melton:

2.  ArtStor: Since ArtStor is expensive for universities to start up, perhaps Angela Gregory could help with a contract for all 19 schools.  RODP is offering 14 or so sections of Art Appreciation this fall semester.

3.  Classical.com is a classical music library.  SOLINET offers a 3-user contract for $1,000.  Peter and Raylean will hold a conference call with the RODP music appreciation instructors to see if they would use it in their classes.  This semester RODP is offering 15 sections of Music I; they will probably offer 20 in Spring, 2005.

4.  Merlot: www.merlot.org.  This is a free resource for faculty and students in TBR.  RODP will be hosting a Merlot conference in 2005.  If you volunteer to work, your expenses will be paid.  Contact Peter if interested.  Peter discussed the Digital Library of Learning Objects and talked about the Merlot conference he attended in California.  You can see some of the presentations from this conference by going to Merlot’s web site, clicking on conferences and then presentations.

5.  Peter showed the presentation of the RODP Virtual Library he gave to the RODP strategic planning group on Sept. 8.  If we have any suggestions for changes, additions, etc. to the Virtual Library survey, we should send them to Peter.  We will be distributing this survey this year.

6.  TALC card:  Discussion followed on the following questions:  Can we make it easier to give out the cards so that the student does not have to go back to their school?  Could we email the issuing college to make sure the student is in good standing?  Can we just issue the student a community patron card?  It was stated that we cannot make changes to the card because UT is part of the agreement.  We are to go back to our libraries and discuss this with our staffs.  It will be placed on the agenda for the joint meeting in the spring with the UT librarians.

7.  RODP databases:  Peter will determine from Robbie how much money RODP has to pay for library databases.  We are to send to Peter by email our suggestions of databases to purchase.  ArtStor and classical music.com were mentions.  ArtStor can be used by history and the humanities as well as art classes.

8.  Streaming video:  Vicky Leather reported on the pilot project CSTCC is doing on streaming video.  She has worked with Films for the Humanities.  The price is $200/video to digitize.  They use Media Player 9.0, and they are housed on CSTCC’s server.  She also discussed Digital Curriculum, a database of digitized videos for approximately $3495.  With this, you purchase the right to download the video.

Friday, Sept. 10—

1.  TBR Purchasing/Library Database Committee: Winston reported that there will be a meeting of this committee on Sept. 16.  Linda Doran will email the conference call information for this meeting.  We need standard agreements and for all purchasing agents to treat the same contract or license in an identical manner.  Should we establish a list of publishers that we want to deal with first?  A question was raised on the necessity to bid anything over $2000.  Does this include databases?  Can databases be considered “library materials”?  Everyone needs to update their database information by September 30 so that we can see which databases/publishers are common to everyone.   The librarians will be emailed a copy of the minutes from this committee’s meetings.

2.  SACS accreditation compliance audit:  Mary Evelyn reported that Cleveland State was one of the first to fall under the new SACS standards.  There are no forms and much is left up to the institution on how they will complete the study.  SACS no longer looks at statistics; they are more interested in outcomes.  Linda Doran stated that the institution must make the case and show patterns of evidence.

3.  Items from the floor:

4.  Election of chair-elect:  Sylverna Ford was nominated and elected unanimously as chair-elect for 2005.
